Responding to a Supplement Application
The Build Cover Letter screen is used to select the Anticipated Response Status and Response Type for an application. It enables customization of the text that will appear on the cover letter for the response.
The following Response Statuses can be assigned:
· Permit Issued
· Denied
· Returned for Revision
· Permit Not Required
· Conditionally Approved
· EPC Issued
The Responder consolidates the Review Comments and Permit Conditions before building the letter. After the response has been built (Building Response status), the Responder posts the response. The Applicant can withdraw the application any time before the response is posted.
When a responder selects Conditionally Approved as the anticipated application status, this indicates that a permit or supplement will be issued and that it must be recorded at the County courthouse before it is issued.
Note: If PennDOT does not receive the signed and notarized document "Recording Copy" form (M-945 RC) with a check as requested within 30 days of conditional approval, the permit request may be denied.
Conditionally Approved is a temporary anticipated application status. The text of a Conditionally Approved response letter is used for the email that sends the Permit Recording Notice to the applicant team for completion.
Prior to issuing a permit, the responder must return to the Cover Letter page, change the anticipated application status to Permit Issued or Supplement Issued, select the response type, and edit the cover letter text. A permit or Supplement cannot be issued while the application status is Conditionally Approved.
