Reviewing an Application

 

Email notifications of review team assignments contain a link to an application in ePermitting. You also can click the Work Queue link from any screen to locate all applications assigned to you and under review.

Reviewers may serve in different capacities. For example, a Reviewer may be assigned as a Level 1 Reviewer on some applications and a Level 2 Reviewer on others.

Note: Supplement application screens display in a tab format instead of full screen like permit applications. However, the names of tabs and screens are the same unless they are unique to one or the other type of application. The following process steps apply to both.

Note:  A receiver can update Minimum Use Driveway (MUD) application data in the Driveway section of the Application Details Information area.

To review an application:

Click the Application number to open its Application Information screen. (To return to it at any time, simply click the word Application.)

The Application Setup section/tab contains all information entered for the application. Click the links/tabs to view or edit information. The Internal section/tab contains links/tabs to Checklist and Reference screens. The Workflow section/tab contains links/tabs to review the application and mark the review complete.

View, annotate and add attachments.

1.      Click Attachments. All current attachments are listed.

2.      Click the Document Type link for an attachment to view the document in a separate window.

3.      Click ADD to select and attach additional documents.

4.      Use Adobe Acrobat commenting options to annotate PDF documents. Save the annotated documents and upload them, if needed, for viewing by the Applicant Team or Review Team.

View work summary and location information.

1.      Click Work Summary and Locations on the Application Information screen. All work summaries are listed. If the Receiver does not add valid Work Descriptions for each summary, Reviewers can add them.

2.      Click the Work ID link to access the Manage Work & Locations screen to add descriptions and/or edit location information.

3.      Click EDIT to apply a standard work description to the application. See Lesson 6 for details on entering work descriptions.

4.      Click Save & Exit to save your work.

Note: Work descriptions are required before a Responder can post a response.

Verify important identification information.

1.      Click Application Identification on the Application Information screen to view identification information entered by the Applicant Team or Receiver.

2.      Modify fields, if needed, to correct an application. Depending on the Reviewers role and application type, some fields may not be available for editing.

3.      Click Save & Exit to save your work.

Verify and edit fee information.

1.      Click Fee Information to view fees entered by the Applicant Team or Receiver.

2.      Click the Fee Description to view fee details or edit information.

3.      Click ADD FEE if additional fees, such as for inspection, are required.

4.      Click Save & Exit to save your work.

Use the checklist to verify completeness.

1.      Under Internal, click Checklist Information to view the internal checklist.

2.      Complete the fields to record important information to verify that the application was reviewed properly.

3.      Click Save & Exit to save your work.

Add additional information about application processing.

1.      Click Reference Information on the Application Information screen.

2.      Complete the fields.

3.      Click Save & Exit to save your work.

Record internal Notes any time.

1.      Click the Notes button on any application screen to access internal Notes.

2.      Enter notes as personal reminders of tasks needed for this application. You can view or edit your personal notes at any time. The Notes window also displays before you complete your review. Notes are not visible to the Applicant Team.

3.      Click Save & Exit to save your work.

Add comments quickly during your review.

1.      Under Workflow, click Reviewer Comments.

2.      Click EDIT to select standard comments or compose free-form comments.

3.      As Reviewers enter comments, the next higher-level Reviewer can choose to include or exclude them.

4.      The Responder can include or exclude Review Comments. Included comments are stored as Response Comments and appended to the Response Cover Letter.

Add standard conditions to a permit.

1.      Under Workflow, click Permit Conditions.

2.      Click EDIT to select standard permit conditions or compose free-from conditions.

3.      As Reviewers enter conditions, the next higher-level Reviewer can choose to include or exclude them.

4.      The Responder can include or exclude Permit Conditions. Included conditions are appended to the printed permit.

Record the hours you spend on review and complete your task.

1.      Under Workflow, click Level of Effort. A Review Summary displays all comments and conditions you added, plus your internal notes.

2.      Type the number of hours you spent in the Level of Effort field.

3.      Click the Complete option of the Action menu to complete your task. The system prompts you if more information is required. If everything required by the system is entered, the Reviewer status changes to Complete.
